What we collect, how we use it, and how we keep it safe. Plain English — no legalese.
CoverClear is built on a simple principle: you shouldn't have to trade your privacy to get a mechanical license. This policy explains exactly what information we collect, why we collect it, and what we do (and don't do) with it. If you have questions, email coverclear@polsia.app.
We collect only what we need to operate the service and issue your license. That includes:
Account information: Your name, email address, and password (hashed — we never store passwords in plain text). You provide this when you create an account.
Payment information: We use Stripe for payment processing. We store your Stripe Customer ID and subscription status. We do not store your credit card number, bank account details, or billing address — Stripe handles that on their PCI-compliant infrastructure.
Usage data: What songs you search for, what licenses you request, and when. This helps us operate the service and troubleshoot issues.
Session analytics: Login events, page visits, and feature usage. This is anonymized and aggregate — we can't identify individual users from this data.
Communication: If you email us, we keep that correspondence so we can provide good support.
API usage: If you're an API partner, we log your API key, request volume, and endpoint calls. This is used for rate limiting and billing.
We use your information for exactly three things:
1. Operating the service. This includes issuing your license, tracking your royalty obligations, sending you license documentation, and managing your subscription.
2. Communication. We send transactional emails (account setup, license confirmation, billing receipts, support responses). We may occasionally send product updates or educational content about licensing — you can unsubscribe at any time.
3. Service improvement. We use anonymized, aggregate usage data to understand how the product is used and prioritize improvements. We do not sell, share, or transfer your personal data to third parties for marketing purposes.
We share your data in three limited cases:
Licensing partners. When you request a license, we may share your account details (name, email) with the relevant publisher or collection society as required to process your license. This is a necessary part of the licensing process.
Payment processing. Your Stripe Customer ID is shared with Stripe to process subscription payments. We have no control over Stripe's data handling — their privacy policy applies.
Legal requirements. If we're compelled by law or legal process to share data (a court order, subpoena, or similar), we will do so. We will notify you if legally permitted to do so.
We do not sell your data. We do not share your data with advertisers. We do not use your data to train machine learning models.
Your account password is hashed using bcrypt. Payment credentials are handled exclusively by Stripe. All data is transmitted over HTTPS. Our infrastructure is hosted on Render — their security practices apply to the infrastructure layer.
OAuth tokens for service integrations (if any) are encrypted at rest using AES-256-GCM.
You can request a copy of all data we hold about you at any time by emailing coverclear@polsia.app. We will respond within 30 days.
You can update or delete your account data. Deleting your account removes your personal information from our active database. Some data (license records, billing history) may be retained for legal and accounting purposes, but it is de-identified and no longer linked to your identity.

CoverClear uses minimal cookies:
Session cookies. Required for authentication — these keep you logged in and are deleted when you log out.
Analytics cookies. We use a lightweight analytics pixel (polsia.com) to understand site traffic. This data is aggregate only.
We do not use third-party advertising cookies or tracking cookies.
If we make material changes to this privacy policy — things that affect how we use your data — we will notify active subscribers by email before the changes take effect. Material changes won't apply retroactively.
For minor updates (clarifications, formatting), the updated policy will be posted here with a new "Last updated" date.
